Job Description
Background:
International Fertilizer Development Centre (IFDC) is a public international organization addressing critical issues in the area of international food security, the alleviation of global hunger and poverty, environmental protection of economic development and self-sufficiency. In addition, to its headquarters in Muscle Shoals, IFDC has offices and/or staff stationed across Africa, Asia and Europe
IFDC is a registered International NGO in Ethiopia and currently seeking to recruit Admin officer for ETH office.
The IFDC Ethiopia Administration Officer will have experience related to Office Management and this position has the following component:
- General procurement of goods and services whilst compliance with IFDC procurement policies and ensuring value for money and best service delivery.
- Staff contract tracking and documentation process for proposed staff hire
- Asset management and general inventory of equipment
- Staff Insurance
Primary Duties and Responsibilities:
- Prepare, process, and maintain contract agreements for service vendors, and complete required inspection, quality assurance testing, invoice processing and contract closeouts.
- Manage Staff contracts and process renewal /coordinate actions related to recruitment (HR) in collaboration with the National Admin and Finance Officer.
- Oversee the day -to-day Administration in Ethiopia. Plan, coordinate and manage all administrative procedures and systems.
- Allocate responsibilities and office space.
- Maintain confidential personnel files ensuring that information is complete and updated.
- Ensure compliance with all procurement processes (goods and services) is adhered whilst ensuring IFDC’s policy on procurement is assured e.g. preparation of Request for Quotes (RFQs), Purchase Requisition and Purchase Orders (PO) etc.
- Ensure IFDC gets value for money on the procurement of goods and services.
- Maintain strong relationship with IFDC Vendors as well as organize vendors workshop and ensure service delivery.
- Control and manage IFDC equipment, (disposal, inventory and manage fleet of generating sets)
- Arrange travel and hotel reservations, purchase flight tickets, for project staff on official trips and project activities.
- Processing request for visas, identity cards and other documents
- Handle staff Insurance (Health insurance and Group life/Group Accident Insurances)
- External liaison /etc.
- Monthly timesheet and leave reporting.
- Supervise all the IFDC Drivers and Administration Assistants in ETH.
- Collaborate closely with hosted staff and partners and ensure that all activities and requests are well coordinated.
- Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained.
- Planning, scheduling, and prompting office events: including meetings, conferences, interviews, orientations and training sessions.
- Carry out any other duties as may be required.

- This position will be based at the IFDC Office in Addis Ababa Ethiopia

Salary Clause
- The salary grade for this position is BG 7. With a proposed pay of ETB 41,707 Gross Per Month

Job Requirements
Required Experience
- A Bachelor’s degree in Business Administration or Procurement is required; a master’s degree will be an added advantage
- A minimum of 8 years of work experience is required; 6 years of relevant work experience is preferred;
- Strong communications, analytical, writing, and interpersonal skills; excellent report writing abilities required;
- Ability to work as a team;
- Excellent understanding and applications of computerized database development, systems, processes, and applications.
- Critical thinker and problem-solving skills
