HR & Admin Supervisor

Job Summary:

The job of the Human Resources & Administration Supervisor is specific responsibility for providing information to the entire workforce regarding policies and regulations; addressing a variety of issues and/or providing general support; overseeing the maintenance of records, files and databases of personnel actions, evaluations and tenure; assisting the HR Manager in ensuring that company’s human resources activities and functions are legally sound and effective human resource practices with our lawyer; and oversee/supervise administrative functions and processes to ensure efficient operations for the organization. 

Duties and Responsibilities:

  1. Contribute in the planning and development of company policies and procedures, ensuring proper dissemination, implementation and compliance.
  2. Coordinate the recruitment process, including job postings, candidate screening, interviews and onboarding.
  3. Conduct initial orientation to new hires.
  4. Assist in handling employee/labor relation matters e.g. grievance, investigation, documentation and imposing disciplinary actions.
  5. Maintain an efficient employee records and filing system and ensure that all confidential matters pertaining to HR administration are kept confidential.
  6. Implement the General Staff Handbook & Manager’s Manual as the overall guidelines for Human Resource Management.
  7. Ensure compliance with federal, state, and local employment laws and regulations.
  8. Facilitate contracts and activities pertaining to personnel movement; promotions, transfers, terminations, and resignations.
  9. Implement and manage performance
  10. Conduct exit interview of resigned employees.
  11. Contribute in the planning and coordination of administrative procedures and systems and devise ways to streamline processes.
  12. Ensure documentation of HR & admin related files in both electronic and hard copy format through a clear and concise reference system.
  13. Generate reports on key HR metrics for management review.
  14. Perform other HR & Admin-related duties as assigned. 

Job Requirements

  • Bachelor’s Degree in Human Resources, Business Administration, or related field
  • Minimum of 3 years’ experience in similar role.
  • Proven experience in HR roles, with a focus on supervision and leadership.
  • Proficiency standard software applications including in MS Office operations especially Excel and Word; other office productivity tools is an advantage
  • Excellent oral and written English communication skills.
  • In-depth knowledge of employment laws, regulations, and HR best practices.
  • Excellent organizational, problem solving, interpersonal, and people-management skills and demonstrated capability to work in a multi-disciplinary team environment.
  • Ability to work in a high-pressure, deadline-oriented environment.
  • Ability to work independently and as part of a team
  • Demonstrated ability to multi-task, prioritize, focus on projects and tasks with the highest potential for success.
