Job Description
Job Summary:
You will efficiently provide comprehensive documentation of financial records, clerical and accounting services to assist the Finance Department in executing processes and delivering service needs that support high-quality programs serving the poor and vulnerable. As part of an experienced finance team, you will deliver quality support in your role, applying clearly defined documentation processes, procedures and service standards.
Job Responsibilities:
Receives & maintains records of financial documents.
- Receives partner financial liquidation documents from program team.
- Check the summary and the number of box files received.
- Check the completeness of documents such as approved tracking sheet, excel summary attached.
- Maintain sequential records and submit to the senior finance officer/DFM.
Ensures proper filling of financial documents in the archives:
- Ensure partner financial documents returned back from various departments after approved.
- Ensures that vouchers are supported by valid documentations before filling.
- Arrange the files for users to easily track & pool them for different purposes
- Coordinate with the photocopy vendor and ensure partner financial documents copied timely and keep the originals properly and safely until collected by the partner.
- Ensures the safe transfer of documents from CRS finance to ECS building.
- Check availability of spaces and insurer transfer of financial documents to Nazareth store and controls their proper filing there for future reference.
Follows up/ensures for the timely return of original documents to respective partner offices in coordination with CRS/Ethiopia’s finance.
- Assigns unique sequential number and retains photocopies of partner liquidation documents,
- Ensure the original documents sealed by CRS/Ethiopia finance ”processed ” stamp.
- Counts the number of liquidation documents per partner and keep in a safe place until partners collect them.
- Makes sure that partners’ responsible person signs to acknowledge receipt of the original liquidation documents.
Pools and provides required documents as needed
- Provides required documents to local and HQ auditors when annual audit work is conducted, Keep records of pooled documents.
- Assist the Finance Manager, Deputy finance Managers and other finance staff to make available all required documentations for their job as instructed.
- Follows up/ensures the documents returned to their proper places after audit processes completed.
- Performs other related duties as required.
Job Requirements
Typical Background, Experience & Requirements:
Education and Experience
- High School Diploma required. Professional diploma/Certificate or courses in Accounting, Finance or Business Administration a plus.
- Minimum of two years work experience in a similar role with some familiarity of record keeping and documentation practices. Experience with an international organization is a plus.
- Experience using MS Office packages, in particular Excel and Word. Hands-on experience with data entry into excel forms.
