1.Event Coordinator

Job Description

Scope of Role

The Event Coordinator plays a crucial role in planning, organizing, and executing various events, ensuring their successful implementation. This position requires excellent organizational and communication skills, attention to detail, and the ability to handle multiple tasks simultaneously. The Event Coordinator works closely with clients, vendors, and team members to create memorable and seamless event experiences.

Key Responsibilities and Accountabilities

1.       Event Planning and Organization:

  • Collaborate with clients to understand their event objectives, requirements, and budget.
  • Research and propose event concepts, themes, and venues suitable for the client’s needs.
  • Develop event timelines, budgets, and critical path schedules.
  • Coordinate logistics, delivering event equipment.
  • Source and manage suppliers, vendors involved in the event.

2.       Communication and Client Management:

  • Cultivate relationships with sponsors, responding to inquiries and facilitating sponsorship agreements.
  • Negotiate and execute sponsorship contracts, ensuring alignment with brand and values.
  • Manage the logistics of sponsorship materials, including delivery, setup, and return.
  • Maintain regular communication with clients, providing updates on event planning progress.
  • Act as the primary point of contact for clients, addressing inquiries and requests promptly.

3.       Brand Visibility:

  • Strategically place brand logos and visibility materials at events for maximum exposure.
  • Coordinate pre-event visibility setups, ensuring branding aligns with agreements.
  • Monitor the condition and quantity of visibility materials for a consistent brand presence.

4. Event Execution and On-site Management:

  • Oversee event setup, equipment, and signage.
  • Supervise event staff, volunteers, and third-party vendors during the event.
  • Troubleshoot issues that arise during the event and implement effective solutions.
  •  Ensure compliance with health and safety regulations and emergency procedures.

5.  Budget Management and Cash Flow Coordination:

  • Develop and manage comprehensive budgets for events and sponsorships.
  • Monitor cash flow related to event expenses and sponsorship contributions.
  • Track expenses, reconcile invoices, and provide regular financial updates.

Job Requirements

Qualification :-

  • Possession of college degree (in Event Management, Business, Marketing, or a related field.)
  • 2-3 years’ experience in events consumer-facing marketing roles

Skills :-

  • Proven experience in event coordination and sponsorship management.
  • Strong organizational, negotiation, and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in event management software, Microsoft Office Suite, and contract preparation.
  • Ability to work under pressure and meet tight deadlines.

2.Event Administrator

Job Description

Scope of Role

Event Administrator play a crucial role in supporting our marketing team and ensuring the seamless execution of events. He/she is responsible for the smooth execution of marketing operations under the supervision of the event coordinator. These include supporting on marketing campaign execution and annual marketing planning and external stakeholder management.

The role requires a well-organized and assertive person will excel in administrative tasks, document control, and database management, contributing to the overall success of our marketing activities.

Job Requirements

Key Responsibilities

a)       Marketing Support:

  • Assist the marketing team in coordinating with consumers and other stakeholders.
  • Collaborate on the development and implementation of marketing strategies and initiatives.

b)      Document Control and Database Management:

  • Establish and maintain an organized archiving system for easy access to key documents, both physically and digitally.
  • Receive, systematically store, and manage all documents submitted to or picked up from the head office.
  • Record and store contact information of clients for effective communication.

c)       Financial Tracking:

  • Track and reconcile event-related expenses, invoices, and payments.
  • Ensure accurate financial records and adherence to budgetary constraints.
  • Event Set-Up and Tear Down:
  • Supervise the groundwork for all event set-up, tear-down, and follow-up processes.
  • Coordinate necessary visibility materials and brand ambassadors for marketing activities.
  • Monitor and track all event visibility materials to ensure consistency and effectiveness.

d)      Regional Event Oversight:

  • Overview events in regional cities, ensuring consistent execution and adherence to standards.

e)       Distribution Planning:

  • Support in creating distribution plans for giveaway items related to marketing activities.
  • Coordinate the distribution process and monitor its effectiveness.

f)       Administrative Assistance:

  • Assist with daily administrative duties to ensure smooth operations.
  • Collaborate with various departments to support cross-functional tasks.
  • Document control and database management. Sets up archiving system assures easy access for key documents both physically and digitally. Receives and systematically stores all documents submitted to or picked up from head office, takes and store contact information of clients

g)      Flexibility and Additional Tasks:

  • Complete any other responsibilities as assigned by the supervisor, showcasing adaptability and versatility.

Qualification and Experience Required 

  • Proven experience in administrative roles, preferably in event coordination or marketing support.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in document control and database management.
  • Familiarity with event-related financial tracking.
  • Ability to oversee events in regional locations.
  • Detail-oriented with a proactive approach to problem-solving.
  • Interpersonal communication and basic report writing skill
  • Flexibility to adapt to changing priorities.
  • Minimum of 1 years of experience in market research and/or event management, preferably in the beverage or FMCG sector.
